Point number 1:

First point of discussion; Closing issues to MBL911K Assignment 1 - Are there any more issues, Shumi did you get your querie sorted with Shungu?

Are the rest of the team satisfied with the report?

Hermanus Louw (talk)07:11, 16 March 2009

Hi Hermanus,

I am fin withe the content of the report, but it is 19 pages and the maximum is 17 pages. I also saw that some of the pages from one point to the oter did not use the full page, maybe you need to bring those points to the pages where the former point ends so we do not exceed the 17 pages. Comments from others?--Luisaserra 18:14, 15 March 2009 (UTC)

Luisaserra (talk)07:14, 16 March 2009

There was a discussion this week between Victor and I where everyone was included in the mails. But the content of the report is only 17 pages long, however to help the report flow better we decided to start each new heading on a new page.

How does the rest of the team feel about this?

Hermanus Louw (talk)07:17, 16 March 2009

My view would be to comply with the 17 page limit - we could be penalised for not following instructions

JEREMIAH CHAPHXANYA (talk)07:21, 16 March 2009

We are complying with the 17 pages limit in terms of actual work content, it is just the layout that makes it longer, but easier and more clearly defined?

Change or not change? Shungu, your the project leader onthis one what is your opinion?

Hermanus Louw (talk)07:25, 16 March 2009

I had a chat with her. There was probably an oversight. I believe this will be sorted out shortly. Just to put everyone on the same page, we left out question 3 on the final doc. - Diversity mngmt definitions.

Shumimlingo (talk)07:15, 16 March 2009

Ok we already have a problem with the report lenght, how much info is it and when will I receive it, I need to have the final draft ready early tomorrow if changing is needed?

Hermanus Louw (talk)07:19, 16 March 2009

Its about a page. Perhaps Shungu can give the timelines

Shumimlingo (talk)07:21, 16 March 2009

Thanks Shumi, got your mail.

Utang (talk)07:32, 16 March 2009

I am happy with the draft - I have provided my suggested cosmetic changes.

JEREMIAH CHAPHXANYA (talk)07:18, 16 March 2009

Jeremiah Great that you so much for your input, are you satisfied with what I have done with the questionnare you created?

Hermanus Louw (talk)07:20, 16 March 2009

Hermanus

Shumi's issue l have seem the documents will post them to you, as we are discussing thats why l did not put the document on the eds. About the length of the assignment l recommend we stick to the --Shungunyoni 18:38, 15 March 2009 (UTC)required number of pages because the moment he marks 17 pages he stops then the other part of the assignment will not be marked.

Shungunyoni (talk)07:38, 16 March 2009

I don't think there's any hard and fast rule regarding exceeding number of pages. If we fall short there'll be a problem, but unless the info is not important, I don't see why we can't include them, despite having more pages. Just my thoughts....

Utang (talk)07:41, 16 March 2009

Utang hie The inform is important and it should be included in the assignment it is that part at first the lecturer had said we should leave it out and then he later wrote to say we should include it he was mixed up so it is part of the assignment.--Shungunyoni 19:03, 15 March 2009 (UTC)

Shungunyoni (talk)08:03, 16 March 2009

Thanks for that response and noted, will incorperate changes, please ensure that I receive the document tonight still. I get to the office at five in the mornings, and will work on it then.

Hermanus Louw (talk)07:42, 16 March 2009

Hi Hermanus, I would like to get a confirmation from you have you will use the 4 pages that are half and one third used to bring the document to 17 pages. If you remember back in the Study School some lectures actually memtioned not reading the assignment if it exceeded the pages. I understnd your point but you do not know how the lecturer interperts the length of assignments, let's not give any opportunitties. Jeremiah & Shungu comments are clear.--Luisaserra 18:48, 15 March 2009 (UTC)

Luisaserra (talk)07:48, 16 March 2009

Luisa, To confirm I will strickly be sticking to the 17 pages, that means changing the current layout format, however I am concerned about the extra page that I now have to incorporate.

Hermanus Louw (talk)07:52, 16 March 2009

Actually, I take that back. I just saw in the assignment outline that we cannot exceed 17 pages. We have to comply. Maybe we can remove some and add some depending on what is most important. But we must stick to what is required like including the 3 definitions of diversity management. That carries 10 marks.

Utang (talk)07:55, 16 March 2009

Point number 2:

Completed SoW sign off sheet to be returned.

Thank you for those who finished the SoW and signed it. Are we all in agreement for our contributions and is everyone going to be able to deliver on schedule?

Hermanus Louw (talk)07:22, 16 March 2009

Hermanus - I am fine with the SoW and I take note of my assigned section. I will do my part working with Akachi, and of course, Project management is not our strength, we will appreciate any form of help from team members. But we will aim tro give you something.

JEREMIAH CHAPHXANYA (talk)07:26, 16 March 2009

Sorry again that I am late. Had problems logging in.

I feel lost with the project management assignment. Can anyone help me please?!

Utang (talk)07:29, 16 March 2009

Utang I will give you and Taurai some strearing this week, but you have to comment on my emails. I have sent numerous emails that you have not aswered and I am still awaiting your signature and input for the Team charter.

Hermanus Louw (talk)07:31, 16 March 2009

Forgive me for the lack of prompt feedback, I repent. The signature you'll get latest Tues. Comments already sent last week.

Utang (talk)07:38, 16 March 2009

Utang, please resend I seem to not have received that mail.

Hermanus Louw (talk)07:44, 16 March 2009

Hermanus, I have just resent the mail. Can I just clarify something from you...is it the update on the team charter you are talking about? Thats what I sent last week and resent just now.

Utang (talk)08:06, 16 March 2009

Hi Utang, there is an email from Hermanus on the 11th of March, about SoW for 912L assignment. When you open the document it gives you the task you have been assigned. In your case you and Taurai Hove have to comlete the task regarding " Project Planning and Scheduling". I hope is clear--Luisaserra 18:39, 15 March 2009 (UTC)

Luisaserra (talk)07:39, 16 March 2009

Thanks, I have only just seen the mail now. I don't know how I missed it. I am still a bit lost though, PM seems like rocket science to me. Can I just get a little clearance on what is expected and the due date.

I am in line with jerry. i have a weakness for PM. Do we need any referencing for our part of the assignment?

Akachi Ngwu (talk)07:36, 16 March 2009

Akachi Please reference as you did for the first assignment. I will spend some time tomorrow night trying to find more helpfull info for all.

Hermanus Louw (talk)07:40, 16 March 2009

is this theoritical evaluation or evaluation of our project assignment. i need to understand the basics of this evaluation process. should we look at contextual and conceptual evaluation process?

Akachi Ngwu (talk)07:59, 16 March 2009

--Kay go 18:28, 15 March 2009 (UTC)i'm travelling alot this week so i'm not sure of the internet availability so i can not put my head on the block and say i will deliver on time. i'l try very hard to work hand in hand with Shumi, to deliver as scheduled

Point number 3, guys and this one is crucial, the team charter should have been handed in two weeks ago, please comment:

  1. Finalise the team charter.
  2. Utang comments and signature.
  3. Taurai comments and signatures.

Areas still outstanding in the team charter are:

  • Rules (and punishment?)
  • The performance control process
  • Lessons learned / Continues Improvement
  • Document Control
  • More needs to be said about risk management Utang and Taurai have information to add.
  • Shungu has some info to add.
  • More needs to said about the team principles and Critical values.
  • More needs to be said about team goals.

Check and add?/agree? to the team roles, official and process.

Hermanus Louw (talk)07:33, 16 March 2009

Sorry just to set the record straight Shungu I have received your comments on the team charter and your signature. Thank you for that

Hermanus Louw (talk)07:36, 16 March 2009

Hermanus - I hope you saw my contribution on the Team Charter. Mys suggestion is just to assign 2 pple who will work on the draft and agree with the Team Leader before circulating it to the rest of the team. We also would need to lay tight deadlines and get it out of the way.

JEREMIAH CHAPHXANYA (talk)07:38, 16 March 2009

Jeremiah, sorry have to admid, I did not have time to go through your comments today, but yes great idea and I will look at that tomorrow and send all a mail.

Hermanus Louw (talk)07:47, 16 March 2009

--Kay go 18:45, 15 March 2009 (UTC)i agree, your effort has really been tremendous Hermanus, throughout it deserves a pat on the shoulder. so please guys lets make life equally soothing for Hermanus, by giving feedback and responding timeously, whats good for the goose is good for the gander.

  1. we need to keep to the 17 page requirement for the assignment.
  2. the sow as presented is okay, but i need to understand how to tackle the part of my assignment with jerry.- the evaluation process, maybe, hermanus you need to help out here.
  3. i agree with hermanus that the team charter is due for submission. i hope there is no punishment for late submission, hermanus did you speak with prof. kriek on that? on other areas of the team charter, i suggest members are given till end of 2moro to comment and send their comments back to hermanus. we need to begin to stick to deadlines, non adherence to deadlines should attract some reprimanding for the member concerned.
Akachi Ngwu (talk)07:48, 16 March 2009

My take is pple may be struggling connecting and responding timely. Why not in the best interest of time and to share the burden, Hermanus and Luis just assign to pple to take up the remaining bits on the Charter and respond to the team by mid week. Myself I dont mind, all we have to dio is to get stuff done and spread the burden to the team. It not democractic, but its managing for results.

JEREMIAH CHAPHXANYA (talk)07:51, 16 March 2009

Hi Hermanus, here I beleive we need to set deadlines about each of the comments we want from the team, for example comments of values, deadline is Tuesday 17th and then it is final. On the firts week back from the study school a lot of info was sent, did you add it to the final draft you sent this week?--Luisaserra 18:51, 15 March 2009 (UTC)

Luisaserra (talk)07:51, 16 March 2009

Luisa absolutly agree, however no one stick to any deadline. Wwe need to work out some kind of penalty method? "If you are late please just inform the rest of the team in advance so we know what to expect?"

if you are referning to the Team Charter, then yes I have incorporated all the info sent to me except Jeremiah's.

Hermanus Louw (talk)07:56, 16 March 2009

Point 4&5

Guys, I am unhappy with the amount of communications doing the rounds, are you all communicating individually? Please ensure that you respond to all queries directed at you via email. Following on from that any comments/suggestions on how we deal with issues relating to:

Methods of communications. Response time on communications. Sign-off on documents and response time.

Hermanus Louw (talk)07:49, 16 March 2009

I am following the discussion. I will aim to respond on time to group emails. Maybe the biggest offenders may need a reprimand from the Project / Group Leader. We all have busy schedules, but we have to be effective in getting stuff done and on time.No excuse for failure chaps.

JEREMIAH CHAPHXANYA (talk)07:55, 16 March 2009

Maybe the best way to start with would be to name and shame offenders each time a deadline is not met on respodning. Just to counter bad habits of not communicating - if busy or travelling, then the leader must know

JEREMIAH CHAPHXANYA (talk)08:02, 16 March 2009

--Kay go 19:04, 15 March 2009 (UTC)may i be excused, i only managed to hustle an hour, it is going to be a challenge for me, to respond this week as i will be travelling a lot but as mentioned i'll try my best. i'm only back in Botswana on Tuesday 23rd please bear with me for this week, if i am unable to contribute effectively.

Kay go (talk)08:04, 16 March 2009

Great to have you here and you will be sent the minutes of todays meeting.

Enjoy the UK

Hermanus Louw (talk)08:06, 16 March 2009

the email is still the best communication method, if only members can respond on time. we need to have 24hour email response understanding, let all members bear that in mind and always check their emails regularly. that will solve a lot of the communications challenges we are having at the moment.

Document sign off can be done by members individually or hermanus can help with that when non timely response from a member will affect the project. we also need 24 hours deadline for document signoff.

Akachi Ngwu (talk)08:10, 16 March 2009

Hi Hermanus, I understnd your frustrations, and as per Jeremiah email, maybe we need to highlit on a second email after the deadline who did not respond, then I can have a chat with the respective team member. This brings me to the point of assignment 911K contributions, I was tasked with Hove to do the assignment and all I got was an email and an sms stating I cannot connect to the internet, I suggested to Shungu to assign him to work wuth Kago, apparently he travelled to Zim, but he is getting a 100% contribution for the project, who gave him that mark?--Luisaserra 19:13, 15 March 2009 (UTC)

Luisaserra (talk)08:13, 16 March 2009

I put the marks in there, however I was not aware of any of these issues. I will contcat you on the phone tomorrow to discuss.

Hermanus Louw (talk)08:19, 16 March 2009

please don't forget to post the assignment on eds 2moro. tuesday is the due date.

Akachi Ngwu (talk)08:29, 16 March 2009

that is the point. we need to begin to punish non performance on part of members.

we can't make progress with this lackadaisical attitude of members.

what we in is a very seriuos business and must be treated as such.

Akachi Ngwu (talk)08:25, 16 March 2009

Point 6&7

Guys I will have a look at the specific task that i have set for you in the assignment and see how I can help, but please go out there and find as much info as you can on your specific topic. speak to project managers at work, talk to a senior manager, etc.

Remember that graphically demonstrating your point also always work, so dont be shy to use graphs, pictures etc.

Any other queries?

Hermanus Louw (talk)08:02, 16 March 2009

Like I said before, PM is not my strength, but I will give it my best shot and revert back to you for help.

JEREMIAH CHAPHXANYA (talk)08:07, 16 March 2009

I have seen the sow and l think personally l do not have a problen with the task i am happy l am with luise she has an idea.--Shungunyoni 19:11, 15 March 2009 (UTC)

Shungunyoni (talk)08:11, 16 March 2009

No queries Hermanus...may be in touch with you for guidance.

--Shumimlingo 19:12, 15 March 2009 (UTC)

Shumimlingo (talk)08:12, 16 March 2009

No worries that’s what I am there for, as I say I want to encourage communications!

Hermanus Louw (talk)08:14, 16 March 2009

Thanks a lot Hermanus for all your help and hard work. I'll revert, should we (Taurai and I) hit a brick wall. When are we supposed to submit our part of the assignment?

Utang (talk)08:15, 16 March 2009

Ok guys lets start wrapping it up, any last comments?

Hermanus Louw (talk)08:09, 16 March 2009

Thanks Hermanus, thanks Shungu and Victor for the first assignment. Your efforts greatly appreciated.

JEREMIAH CHAPHXANYA (talk)08:11, 16 March 2009
